We have an immediate need for an HR Coordinator to join our team at our Corporate office in Troy, NY. This is a full-time role, reporting to the Director of Human Resources, and responsible for the following: General HR Administration • HR Z: Drive – organizing files and maintaining records; updating folders/organization as needed; ensuring current and historical information readily available and accessible; auditing the Z:Drive on a Quarterly basis to ensure folders/documents are up to date. • Personnel Paperwork – maintaining the Company’s Personnel Files via ADP Workforce Now, which includes daily/weekly filing of related paperwork to keep them up-to-date. • ADP Workforce Now – understanding ADP’s Workforce Now overall functionality; updating ADP Workforce Now Home Page; becoming familiar with various reporting capabilities for related needs. • Software/Technology - understanding how to navigate HR software systems – Grace Hill, ADP, Outlook, Teams. • Requests for Employee Information - completing and responding to employment verifications, information subpoenas, and requests for employee information as needed. • Office Manager Backup - serving as the dedicated back-up to the Office Manager position.

 CHRO Administrative Support + Project Planning - assisting the CHRO with administrative needs, project planning, and employee relations matters: o Maintaining detailed records for employee relations matters (i.e., legal).Providing support to maintaining CHRO calendar – scheduling, accepting / declining, or rescheduling meetings. o Taking meeting minutes and ensuring any related follow up(s) takes place

Employee Related Billing + Payments • Employee Billing – managing and processing all related employee split billing; understanding the HR Billing Sorecard, keeping it up-to-date; communicating with vendors / partners on status of any open invoices or expected payments; following up with internal Accounts Payable as needed.

New Hires + On-Boarding • New Hire Paperwork – managing and processing new hire paperwork for Corporate and Site employees; ensuring all information is collected and the new hire checklist is complete and accurate. • Orientation Programming - scheduling New Employee Orientation and related training with Department Heads; working with the necessary individuals for travel arrangements, IT (Hardware/Software) needs, Company phone set up; following up re: outstanding information if not brought to Orientation to ensure compliance with established internal requirements and state and federal guidelines. • New Employee Orientation Materials - ordering and updating Orientation materials; preparing new hire packets; maintaining any New Hire “swag” as needed. • Business Cards – placing requests for new employee (or newly promoted employee) business cards. • Employee Surveys - managing the survey process via ADP’s Voice of the Employee - – New Hire, Quality of Hiring, On-Boarding - activation, reminders, and monitoring; reviews survey results with DoHR. o Additionally, ensures Exit Surveys are sent to terminating employees; shares noteworthy feedback with DoHR. • Continued Training - scheduling additional new hire training, if needed, beyond the Orientation program. Assists with: • Recruitment – supporting as needed with attending job fairs, job ads, screening resumes, and processing background checks.

Employee Engagement & Retention Assists with: • Event Planning – supporting the Company’s employee engagement and event programming initiatives including research, planning, and executing of the following types of events/initiatives - - Valuing Diversity + Difference, employee and maintenance appreciation, team building, health/wellness, philanthropic events, baby showers, engagements, holidays, and related. • Anniversary Program – planning yearly Anniversary recognition program; calendaring milestone anniversaries for HR and Marketing for monthly Blog Posts; sending Anniversary recognition emails on day of anniversary; planning and executing annual Anniversary Celebration Event, including venue selection, menu, program outline, travel coordination, awards, and gifting, etc. • Annual Employee Engagement Surveys + Feedback Initiatives - supporting efforts related to annual employee engagement surveys; sending surveys to applicable employee groups, understanding deadlines for completion;reviewing results with DoHR/CHRO and creating actionable items to sustain positive reinforcement and effectuate change for areas of improvement.Blog Posts: creating content and ensuring timely blog posts for new hires, promotions, and milestone anniversaries, etc. in partnership with the Marketing Team. • Company Newsletter (United Group Chat) –following up with responsible parties to ensure timely production and completion in accordance with deadlines, and overseeing distribution to employees. • Scrapbook – selecting themes, sending out reminders, showcasing of photos with appropriate captions/information.

Compliance • Continuing Education + Employer Responsibilities - attending related federal or state trainings/webinars to understand employer requirements, federal and state regulatory compliance.

Qualifications • Bachelor’s degree in Human Resources or a related field (preferred). • Human Resources / Generalist experience preferred, but not required. • HRIS experience, preferably ADP + Workforce Now. • Demonstrates integrity on a personal and professional level. • Exceptional leadership and communication skills. • Ability to solve problems involving employees and with challenging and complex, confidential situations. • Detail oriented; regards prompt follow up to open issues as a priority • Professional presentation to be compatible with the established guidelines of United Group. • Ability to conduct business with enthusiasm, assertiveness, and have the ability to serve as a role model for colleagues exuding a positive attitude and professional decorum

Scope + Compensation • Hourly, non-exempt position; $23.00 - $25.00 per hour. • Work schedule: 8am to 5:00pm; minimum 40 hours per week; additional hours as required and regular schedule to be consistent with established hours of operation for the corporate office and/or site operations. • Compensation commensurate with level of experience and job requirements. • Paid sick, personal, and vacation time off as outlined for all employees similarly situated. • A portion of the single health insurance premium paid towards employee health insurance. • Additional benefits offered to other full-time employees of United Group.
