Administrative Assistant

Position Summary:
The Rensselaer County Regional Chamber of Commerce is looking for a part-time Administrative Assistant to join our small and dynamic team. The Administrative Assistant will report to the President but expected to work closely with all of the professional staff including but not limited to the Executive Assistant/Office Manager, Events Coordinator, Membership Manager, and Marketing and Communications Coordinator in all daily operational tasks. This role requires a detail-oriented individual with excellent communication skills, a strong work ethic, and the ability to handle multiple tasks in a fast-paced environment with a commitment to a team environment. The Chamber is looking for a commitment of 15-20 hours a week, at $16/hr.
Responsibilities:
- Assist in the planning and coordination of chamber events, including but not limited to networking mixers, workshops, panels, round tables, dinners, and community outreach events.
- Assist with brainstorming sessions, evaluation of concepts and ideas, and data entry in a database.
- Support event logistics such as guest registration and coordination of event materials.
- Serve as a liaison between the chamber staff, event sponsors, and community partners to ensure alignment of goals and objectives.
- Provide on-site support during events, including setup, teardown, and troubleshooting of any issues that may arise.
- Schedule meetings and appointments as needed.
- Assist with marketing and promotional efforts to increase attendance and chamber membership.
- Assist with follow-up calls, renewal letters, and drop notices as needed.
- Assist with mailing documents and preparing labels for mailing.
- Perform other duties as assigned to support the overall mission and objectives of the Chamber.
Job Requirements:
- High School or GED required additional educational/trade experience is a plus.
- Proficiency in Microsoft Office Suite is required.
- Knowledge of the local community and chamber of commerce operations is a plus.
- Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Strong interpersonal skills with the ability to communicate effectively with diverse groups of people both orally and written including members, sponsors, volunteers, and community members.
- Creative problem-solving skills and the ability to adapt to changing priorities in a dynamic setting.
- Ability to work independently as well as part of a collaborative team.
- Teachable with a strong work ethic.
- Have reliable transportation.
- Professional dress attire.
- Flexibility to work evenings and weekends as required by event schedules.
