Job Summary

The Office Coordinator performs a variety of administrative and clerical duties attuned to support the mission and vision of the Catholic School Office. The Office Coordinator works closely with the Catholic School Office staff to provide them with support. In addition to the skills necessary to provide administrative and clerical support, success in this position is dependent on the ability to communicate with tact, and to work and interact effectively with co-workers and the public.

The following functions are typical duties for this position:

Summary of essential job functions

• Self- motivated, team oriented and collaborative person
• Proficient in Microsoft Word, Excel, Outlook and experience using data bases
• Organize/schedule meetings; prepare minutes and supporting documents
• Monitoring/ ordering office supplies and maintaining office equipment
• Managing incoming/outgoing correspondence
• Maintain professionalism and confidentiality at all times
• Answers, processes or direct all phone calls received at the Catholic School Office, with notification to the appropriate team member
• Retrieve and sort the daily mail distributing it to the appropriate staff
• Coordinate and facilitate registration for conferences and workshops
• Assist the CSO Team with various clerical functions and manage the timeliness of each
• Assist with the planning of CSO events
• Responsible for record keeping
• Perform other duties as assigned

Minimum Requirements

• Associate’s Degree (Bachelor’s Degree Preferred)
• Previous administrative experience, preferably in an educational organization
• Excellent oral and written communication skills; attention to details
• Various clerical functions, record keeping, filing system and procedures
• Ability to make independent decisions when warranted and appropriate
• Ability to be productive in a cooperative work environment
• Capacity to be flexible and work well with others in a small office setting
• Capable of maintaining professionalism and confidentiality at all times
• Skill in Microsoft Word, Access, Excel, Google platforms and use of the Internet
• Ability to operate office equipment
• Maintain pleasant, courteous and polite demeanor in all communication via phone, email, mail or in person
• Self-directed in organizing areas of responsibility
• Self-motivated person, able to work autonomously, report progress regularly and work collaboratively with the diocesan offices and the Catholic School Office
• Desire to be proactive and create a positive experience for others
• Ability to handle multiple tasks throughout the work day for several administrative team members
• Capacity to handle challenging situations tactfully and relate well with all constituencies (office staff, pastors, principals, teachers, visitors, and the general public)
• Valid driver’s license with record of safe operation of motor vehicle
• Knowledge of and respect for the teachings and traditions of the Roman Catholic faith

Physical Requirements

Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, and must occasionally lift and/or move up to 25 pounds.
